Business Meeting April 27th, 2014
In attendance: Alex, Brigitte, Nikoel, Jennifer, Tucker, Karen, Leah
1. Legal Documents with Wheels Musuem. Leah was kind enough to have some legal friends draw up documents for us and the Wheels museum to sign.
a. The first document is that any ABQSS member will not hold the Wheels Museum responsible for any injury acquired in the museum.
b. The 2nd document is that the Wheels museum will not hold ABQSS responsible for any damage done to exhibits, unless it is willful or gross negligence. If the latter is the case, the individual who did the damage, NOT ABQSS, will be held responsible for the monetary compensation.
Leah will talk to Leba and have her sign the paperwork.
2. The Railyards Market
a. 10% of the profits will go to the museum
b. At least 10% of profits will go to ABQSS
c. The rest of the money will go to the person who made the sold items.
d. Persons supplying goods for the market will give Tucker an inventory list with prices for the goods they want sold at the table.
e. Nikoel will pick up a cash box and Alex will give Tucker her ipad and the square to process credit card transactions.
** Update: We will not be having a table at the Market at least for the first few weeks. There was a misunderstanding between Leba and ourselves about who was responsible for obtaining the table and the cost.
3. Bubonicon- July/August 2914
a. We have submitted ideas for panels into the programmers and we should hear back by end of May what Panels we may be doing.
b. Cherie Priest is the guest of honor at the convention and Leah will contact Bubonicon to see if ABQSS can meet with her and potentially do tea.
*** Leah has heard back from Bubonicon and Cherie Priest agreed to meet with us!!!
4. Leah to limit her involvement.
a. Will remain Tiffin mistress, but not attend business meetings
i. Would like to change Tiffin’s to every other month and coordinate with the event committee on a couple of bigger teas. (Event committee agreed to this)
ii. Next Tiffin is Alice in Wonderland themed tea in the park June 22nd at 11am
b. Would like Alex to be the liaison between the group and Leba
c. Brigitte will now have the keys
5. Wheels fundraising gala
a. June 14th
b. Asked for volunteers- need to figure out what all that entails
c. Table of 10 is $1000, not in our price range, can we volunteer without eating?
** Leba contacted Leah and has asked us to purchase a table of 10 for $300
It has been suggested that we offer the ten seats at $20 a head to executive committee, then to the general group. If we don’t have 10 takers, the difference will be split between two of our members and they can fill the seats as they see fit. This is dependent upon what is required in volunteering.
6. Committee reports
a. Con/Panel committee: Jenn asked what exactly it is that we want her to do in regards to conventions and panels. Suggestions included posting conventions that were local, or not too far to drive. Potentially setting up a Steampunk Meet/Greet/Photo Op at local conventions, ie: ACE, Abq ComicCon, Bubonicon…. And being a liason for the group if we want to do a panel at the convention.
** Idea was brought up to have a 1 day Steampunk Event in the future.
b. Swag- Tucker asked for goods for the table at the Blacksmith/Railyards market and that people price their own goods, because he wasn’t sure what prices should be on a lot of things.
c. Finance- Nikoel is going to be opening up a bank account for us at Compass Bank. Once set up, she will get people who need access to it signed up.
d. Workshop committee
i. The May workshop was canceled due to various events going on for Leah. We will be doing a meet and greet social/ general business meeting instead. More info later.
ii. Martha was not present, so Brigitte volunteered to email her and ask her to set one up for June.
e. Social Committee- Karen asked that people set up profiles on the Steampunk Empire and potentially look into getting a group account/mention set up on the sight.
f. Event committee: Brigitte listed a few ideas the event committee had for the upcoming year to include a Victorian Parlor Night, a Corrales ghost hunt mystery theater experience, train ride to Chama in the fall, Natural History Museum visit with tea in the park(August)
i. Tucker volunteered Hannah’s services to do a high end photo shoot in character costumes- may just be for exec committee for a trial run and then open up to group, or could be open to anyone in the group.
7. Next Business meeting will be on May 11th at 6pm at Jennifer Rivlin’s house.
8. Need to get business cards and promotional brochure put together to hand out at Train day.
** Means added at Trains Volunteer day meeting on May 4th.
